Digital work order and electronic work order: what actually changes when the pad in the van becomes a screen

Moving work orders from paper to a screen is usually sold on efficiency and delivers something more specific. The form barely changes; the same nine fields matter either way. What changes is when the record is made, whether anybody can read it afterwards, and whether it is attached to the job rather than to a folder. Those three are worth the move on their own.

Made on site rather than transcribed

A paper pad is filled in at the address and then typed up by somebody in the office, and the typing is where the detail goes. A digital work order removes the second step entirely. That is the efficiency, and it is real: the office stops retyping what the vans did today, which for most businesses is an hour a day nobody had scheduled.

Legible, searchable and attributable

A record nobody can read is not a record. A digital one is searchable by customer, by fault and by date, which is the difference between having a history and having a filing cabinet. It also carries who wrote it, which matters the first time somebody needs to ask a question about a job from six months ago.

Attached to the job, not filed by date

The useful question is what have we done at this address, and a folder of PDFs cannot answer it. Attached to the job, which is attached to the customer, the same documents answer it immediately. This is a structural difference rather than a feature, and it is why the storage location matters more than the form design.

What does not change

The fields still have to be filled in honestly, arrival and departure still have to be recorded, and a signature still has to be captured while the customer is there. Digital makes those easier and does not make them happen. Records supporting income and expenses are kept for tax purposes either way, and the retention rules do not care about the format.

Is a photo of a paper work order enough?

It is better than nothing and it is not searchable, not attributable and not attached to anything. It is the migration step, not the destination.

Do customers accept digital signatures?

In practice, routinely. What matters is that the signature is against a specific description captured at the time.

What if the app has no signal on site?

The document should be creatable offline and queue until there is signal. An app that cannot is not usable in this trade.
