Every figure printed on this site is arithmetic on the worked example we publish: 6 technicians completing 5.2 jobs a day across 21 working days at an average invoice of $285, with 22% of the day spent travelling; 655 service calls a month of which 14% are rescheduled at 0.18 hours each by a dispatcher costing $32 an hour and 6% never happen; and 240 service agreements at 2 planned visits a year, 1.3 technician hours each at $58, charged at $145 a visit. Change any of those on a worksheet and the numbers change with them. Nothing here is a market statistic and nothing is quoted from a third party.

Small business scheduling software is bought late, usually in the week after something went wrong that a whiteboard caused. The honest question is not which product is best but whether the business has crossed the line where a board pays for itself, and that line is measurable. This page sets out where it is and what the first month should look like once you are past it.

Work out what an hour of dispatching costs you

On the worked example this site publishes, 14% of 655 calls get rescheduled at 0.18 hours each, which is 16.5 hours a month and $528 of dispatcher time at $32 an hour. That is the small number. The large one is underneath it and most owners have never looked at it.

Then work out what the calls that vanish cost

On the same example, 6% of the month never happens at all: 39.3 jobs at $285, which is $11,200 of work that was booked and did not turn into an invoice. A board that reminds the customer and shows the office an empty slot in time to refill it is arguing against that figure, not against $528.

Start with next week only

The commonest way a small business fails to adopt a schedule is by trying to import two years of history first. Put next week on the board, run it in parallel with the whiteboard for five days, and delete the whiteboard on the Friday. Anything older than that is a record, and records can be looked up in the old system.

Count the licences you are not buying

Per technician pricing turns hiring into a purchasing decision, which is a strange thing to do to a growing business. Whole team pricing means the seasonal second van costs nothing to put on the board, and the seasonal second van is exactly when the board earns its keep.

What a dispatcher asks before running the Small business scheduling software

We are three people. Is that too small? No. Two is the threshold, because at two the office starts holding two versions of the day. Below that a phone is genuinely fine and we will say so.

Can we keep using our accounting software? Yes, and you should. The board holds the job and the documents it produced. Books are a different discipline and there are people who do only that.

How long does it take to set up? An afternoon to put customers and technicians in, then next week goes on the board. Anybody quoting a six week implementation for a five person business is selling something else.
