Small businesses buy scheduling software late, usually in the week after something a whiteboard caused. The useful question is not which product is best but whether you have crossed the line where a shared board pays for itself, and that line is measurable rather than a matter of taste. It is at two people, and this page is about why, and what the first month should look like.
Two is the threshold, not ten
One person can run a day from a phone and we will say so. At two, the office starts holding two versions of the day, and the moment those disagree somebody is driving to the wrong address. At four the whiteboard gets redrawn every afternoon and the redrawing is itself the job. Headcount matters less than whether two people need the same picture.
Work out what the churn costs you first
On the worked example this site publishes, moving 14% of 655 calls takes 16.5 dispatcher hours a month and $528 at $32 an hour. Underneath it, the 6% that never happen at all is 39.3 jobs and $11,200 of invoicing. If the second number is your problem, reminders and confirmations matter more than any scheduling feature.
Start with next week and nothing else
The commonest way a small business fails to adopt a board is by trying to import two years of history first. Put next week on it, run it alongside the old way for five days, stop the old way on the Friday. Anything older is history and can be looked up where it already lives.
Count the licences you are not buying
Per technician pricing turns hiring into a purchasing decision, which is backwards for a business that is growing. Flat pricing means the seasonal second van costs nothing to put on the board, and the seasonal second van is exactly the moment a board earns its keep.
Questions people ask about scheduling software for small business
We are three people. Too small?
No. Two is the threshold. Below that a phone is genuinely fine and there is no sense paying for a board nobody else looks at.
Do we need to change our invoicing?
No. The board holds the job and the documents it produced. Books are a separate discipline and there are people who do only that.
How long does setup take?
An afternoon for customers and technicians, then next week goes on. Anybody quoting six weeks for a five person business is selling a project.
